Client Service Representative

Newtown, PA Full-Time Opening Fall/Winter 2026

Friends Veterinary Specialty and Emergency is seeking friendly, organized, and compassionate Client Service Representatives (CSR) to join our growing team. We are a 24/7 emergency and specialty hospital in Bucks County, privately owned by local veterinarians, and we are searching for highly motivated veterinary team members.

At Friends VSE, we recognize the essential role CSRs play in delivering exceptional patient care and client experience. As the first point of contact for clients, you play a vital role in creating a positive experience for pets and their families.

We welcome all motivated CSRs, whether you are just starting out or have previous experience. You’ll work closely with our assistants, nurses (CVT/VTS), ER veterinarians and board-certified specialists, gaining valuable skills and experience in a supportive, team-oriented environment while making a real difference in pets’ lives.

Compensation: starting at $18/h - compensation will depend on skill, experience, and shift

Key Responsibilities

  • Greet clients and patients in a professional, compassionate, and welcoming manner, recognizing the emotional nature of veterinary visits.
  • Manage incoming phone calls, triage client concerns appropriately, and schedule appointments across multiple specialty services.
  • Accurately enter and maintain client and patient information within the hospital’s practice management and medical record systems.
  • Provide clear communication to clients regarding hospital policies, estimates, treatment updates, and discharge instructions when appropriate.
  • Coordinate patient check-in and check-out processes, ensuring accurate documentation and efficient workflow with the medical team.
  • Process invoices, payments, and financial transactions with accuracy and professionalism.
  • Maintain a calm and supportive demeanor when assisting clients during stressful or emergency situations.
  • Facilitate communication between clients, doctors, and nursing staff to ensure a seamless client experience.
  • Assist with administrative tasks, including record requests, email communication, and document management.
  • Help maintain a clean, organized and welcoming reception area that reflects the professionalism of the hospital.
  • Demonstrate strong teamwork by supporting hospital staff and contributing to a positive and collaborative workplace culture.

Requirements

Education & Credentials

  • High school diploma or equivalent required; additional education in business, communications, or veterinary-related fields preferred
  • Prior experience in a customer service, medical reception, or veterinary hospital environment preferred
  • References may be required

Skills & Qualifications

  • Ability to remain calm, professional, and compassionate when interacting with clients during stressful or emotional situations
  • Basic computer proficiency and the ability to learn and use practice management software, electronic medical records, and team collaboration platforms
  • Understand animal language/indicators of stress
  • Strong verbal and written communication skills
  • Availability to work flexible hours, including evenings, weekends, and holidays as required in a 24/7 hospital setting
  • Ability to work efficiently in a fast-paced specialty and emergency setting
  • Actively seek and incorporate feedback to improve performance
  • Respond positively to coaching and direction
  • Commitment to patient safety, high-quality care, and continued professional growth
  • Physical ability to sit or stand for extended periods and perform routine administrative tasks.
